Job Description

The Group Travel Coordinator manages all travel activities across the Group, delivering efficient and cost-effective arrangements for employees, executives, guests, and production teams. Responsibilities span travel requests, vendor relations, invoice validation, payment coordination, and supplier performance — all aligned with company policies.

Key Responsibilities

Travel Planning & Coordination
Manage domestic and international travel for employees, executives, guests, and production teams.
Arrange flights, accommodation, transportation, visas, and all related travel requirements.
Design cost-effective itineraries balancing convenience and operational needs.
Act as the primary point of contact for all travel queries before, during, and after trips.

Supplier & Vendor Management
Build and maintain relationships with travel agencies, airlines, hotels, and transport providers.
Negotiate corporate rates and preferred agreements to maximize value and service quality.
Monitor supplier performance and maintain an up-to-date approved supplier database.

Finance & Administration
Validate and reconcile travel invoices against supporting documentation.
Coordinate with Finance for timely payment processing, advances, and reimbursements.
Track expenditure and maintain accurate travel records in line with company procedures.

Reporting & Stakeholder Support
Produce regular and quarterly travel reports with actionable recommendations.
Align travel planning with project timelines and production schedules.
Resolve urgent travel issues and escalate critical concerns where necessary.

Qualifications & Experience
Bachelor’s degree in Business Administration, Hospitality, Tourism, or a related field.
3–5 years in corporate travel coordination, production travel, or procurement.
Strong knowledge of booking processes, supplier management, and travel documentation.
Experience coordinating travel for large groups or production teams is highly desirable.
Proficient in Microsoft Office and travel management systems.

Proactive problem-solver with financial and administrative acumen.

Working Conditions
Flexibility beyond standard hours may be required to support operations, productions, and time-sensitive projects, including weekends and public holidays.
